A 30-year-old legacy system
Technology implemented decades earlier could no longer effectively support Baronet's growing and increasingly complex operations.
About the customer
Baronet Coffee is a fourth-generation family business based in Windsor, Connecticut. The company imports green coffee before roasting, grinding, flavoring, and packaging products for away-from-home and retail markets, including both its own house brand and private-label products for customers.
As the company continued to grow, Baronet needed technology capable of supporting the same commitment to quality and customer service that had guided the business for generations—while providing the real-time information required to operate a modern food and beverage manufacturing business.
The challenges
As a multigenerational company, Baronet Coffee had accumulated systems implemented by previous generations. Its core system was more than 30 years old and had originally been introduced when Baronet was a much smaller business with very different products and operational requirements. Many processes remained manual, while continued growth increased the need for accurate, real-time information. As a Level 3 Safe Quality Food (SQF) certified organization, Baronet also needed stringent QA and QC recordkeeping to maintain its commitment to food safety and operational excellence.
Technology implemented decades earlier could no longer effectively support Baronet's growing and increasingly complex operations.
Teams relied on manual workflows and disconnected information that limited efficiency as the company expanded.
Maintaining Level 3 SQF certification required stringent, accurate, and accessible QA and QC records.
Baronet needed better data to serve customers, improve billing and shipping, support growth, and move toward paperless operations.
The solution
After evaluating ERP platforms including SAP Business One, NetSuite, Sage, and Microsoft, Baronet selected Softengine’s industry-focused Coffee One solution powered by SAP Business One.
Rather than adapting a generic ERP to its business, Baronet gained a platform designed around coffee operations. SAP Business One now connects sales, CRM, purchasing, roasting and manufacturing, inventory, reporting, and financial processes within one integrated system.
The solution
Coffee One provides specialized functionality for managing the unique lifecycle of green coffee directly within SAP Business One.
Baronet can track green coffee transactions in real time as product moves through the system, including purchase sizes, coffee-specific data elements, landed costs, and import tracking information. Multi-tier volume discount pricing also enables Baronet to maintain tiered pricing across multiple items purchased from suppliers.
The solution
SAP Business One combines historical information, live reporting, and production data while automating and standardizing data collection. Baronet can monitor low-running materials and reorder goods before shortages disrupt production, while integrated warehouse management provides inventory traceability throughout manufacturing.
The platform has also created efficiencies in billing, accounts receivable, and financial reporting. Payment processing connects credit-card activity with accounts receivable and enables invoices to be emailed instantly—replacing processes previously handled through a separate system.
The results
With Coffee One powered by SAP Business One, Baronet Coffee replaced a technology environment where completing a single producer-to-consumer product could require approximately a dozen different tools.
Today, one connected solution brings together sales, reporting, CRM, purchasing, roasting and manufacturing, inventory, and financial processes. Automated financial reporting eliminates manual spreadsheet consolidation for the accounting team, while monthly reporting can be completed with just a few clicks.
The successful replacement of Baronet’s 30-year-old legacy ERP has given the fourth-generation business a modern technology foundation designed to support its continued growth for generations to come.

Visibility across coffee & production operations
Three months into our live implementation, all we're doing is fine-tuning — and that's a testament to how carefully Softengine planned the project. For the first time, roasting, inventory, and finance all draw from one source of truth. The go-live was refreshingly uneventful, and I was thankful for the effort on both the Softengine and Baronet teams.
